How to become an Accounting Clerk
Also called: Bookkeeper, Accounts clerk
Uses accounting software and systems to handle payments in and out from business with other companies, the company's internal funds and staff pay.
Main tasks
- Making out vouchers for each day's financial transactions and recording them in the books
- Checking entries in the books for mistakes or mismatches with reality
- Handling and managing cash and cheques
- Issuing invoices, confirming payments and managing customer accounts
- Calculating staff pay
- Totalling each account every month (monthly closing)
- Managing production costs
- Handling the paperwork for buying stock
- Doing stocktakes to work out the value of goods in stock and preparing stocktake sheets
- Totalling each account at the end of each financial period, preparing financial statements such as the balance sheet and income statement, and closing the accounts
- Recording amounts, doing calculations, keeping the books and writing reports with accounting software
- Ordering office supplies and other consumables and managing stock
- Preparing materials for budgets and business plans
- Tracking progress against the business plan
- Analysing the company's finances
- Checking customers' circumstances and setting trading limits (credit management)
- Managing fixed assets

How to become one
No particular education or qualification is required to start. Many new graduates come from commercial upper secondary schools, from accounting senmon gakko (vocational colleges) or, at university level, from economics, business or commerce. It takes several years to master accounting work as a whole and become fully capable. Related qualifications include the Japan Chamber of Commerce and Industry bookkeeping test (Nissho Boki) and the bookkeeping proficiency test, which are useful in the job. You handle money, so accuracy, attention and carefulness are needed. During busy periods such as the end of the financial year, you also need speed and persistence to meet deadlines.
