How to become a Trade Administration Clerk
Also called: Customs clearance clerk, Import and export clerk
Works with the sales department on business with other countries, such as exporting and importing raw materials and goods, organising the data and information needed, preparing contract documents and arranging freight.
Main tasks
- Keeping in touch and working together with the sales department
- Collecting and organising information on the prices and quantities of goods and materials to be imported or exported, and on business partners
- Researching the laws of the other country and Japan on export and import permits, approvals and inspections
- Negotiating and coordinating with suppliers
- Checking export controls on security-sensitive goods
- Handling permits and inspection procedures for exporting and importing goods
- Preparing contracts and other export and import documents
- Handling payments for imports
- Handling customs clearance for cargo
- Tracking expected arrival dates and shipping schedules and answering enquiries from the people involved
- Arranging delivery of imported goods within Japan
- Managing and adjusting delivery dates
- Managing stock of imported and exported goods
- Handling foreign exchange transactions and currency management at banks
- Managing credit risk with letters of credit and similar tools
- Managing dangerous goods
- Assigning and managing tariff classification codes (HS codes)
- Carrying out self-audits as an Authorised Economic Operator (AEO)
- Interpreting for overseas customers
- Translating foreign documents
- Finding new customers overseas
- Handling accounting work such as managing sales
